The Implementation Plan Excel Upload/Download Feature Overview

The Implementation Plan Excel Upload/Download feature enables you to download and upload activities associated with an Implementation Plan to an Excel sheet, make changes, and re-upload the modifications. Through the upload/download feature, you can bulk create and edit activities related to an implementation plan and work on the implementation plan offline. 

Need to add new Activities to an Implementation Plan in bulk? Simply create the Implementation Plan in Amp Impact, download it using the Excel Download feature, add all the Activities, and re-upload it to Amp Impact. See the section for how to download and re-upload the templates below.

Download & Modify the Implementation Plan

  1. To download an Implementation plan with its corresponding child activities, click on the “Download” button on the relevant Implementation Plan record. The Implementation Plan Excel will download directly on the page.

  2. The Excel sheet will have three tabs:

    1. Tab 1 - “Instructions”: This tab outlines how to enter data in a compatible format to upload the data to the Implementation Plan record page. All of the instructions are controlled by custom labels and can be edited to include customized or additional instructions. Reach out to your System Administrator if you require changes to the instructions.

    2. Tab 2 - “Reference List”: This tab provides all accepted values for any picklist or relationship fields that are included in Tab 3. The following fields are included on the Reference List out of the box:

      1. Type,  Status, Framework Objective, Project Indicator, Parent Activity, and Contact. Note that these fields are all optional and do not need to be populated.

      2. Additional fields can be added to this Reference List. Contact your System Administrator if you need help with this.

    3. Tab 3 - “[Implementation Plan Name]”: This tab displays a template with column fields from the Activities object. If there is existing data in the Implementation plan record, it will be displayed here; otherwise, this will download as a blank template. 

      1. The tab name will be the name of the Implementation Plan record in Amp Impact. The character limit for the Implementation Plan name is 30 characters. Should the Implementation Plan name exceed 30 characters, the tab name will be truncated and cause an error when trying to re-upload the template.

      2. The row just below this header displays the date of download and the name of the user who downloaded the file.

      3. There are two white columns with system information that should not be modified by the user: “Duration” (formula field) and “Id” (Record ID).

      4. All numeric data will be displayed in US English format, regardless of the currency locale enabled in Salesforce settings. Guidelines are provided in the “Instructions” tab to edit the Excel settings to view numeric data in the format of preference.

      5. Date and Date/Time fields must be inputted as YYYY-MM-DD and YYYY-MM-DD HH:MM:SS respectively for successful upload. Please ensure that the date fields are saved as plain text in Excel. For example, the date may be inputted as 2020-01-08 and the date/time as 2020-01-08 02:26:00 in the appropriate cell.

      6. Once you’ve updated existing Activities, or added new Activities by entering data in the blue cells on Tab 3, the spreadsheet is ready to re-upload to Amp Impact.

      7. If you clear out existing data for an Activity line item in the Excel sheet, then the upload process will clear information from the existing record. However, it will not delete the record. 

If you downloaded a blank template, only the first 13 rows will be blue. That doesn’t mean you can only add 13 rows of data at a time - the re-upload feature will upload all the Activities listed in the sheet beyond 13 rows.

The following should not be edited for Tab 3 in order to ensure compatibility with the Upload feature:

  • Tab name

  • Header text 

  • Names of the column headers

Upload the Implementation Plan

  1. Once data has been entered into the Excel sheet and saved, navigate to the relevant Implementation Plan record page in Amp Impact and click the “Upload” button.

  2. A popup will appear to prompt you to add the Excel file you’d like to upload.

If attaching a file has been successful, clicking “Upload” will prompt the next popup. You can click on “Cancel” at any time and return to the Implementation plan page, with no records updated/upserted.

  1. Once the file has been added, the next popup will confirm the upload. Click “Yes” to upload the file and “No” to stop the process without any changes made to the Implementation Plan.

  2. The final popup (“Operation Complete”) will indicate the number of successfully updated records and the number of errors that occurred.

    1. “View Successes”: Selecting this shows the user the successful uploads. Clicking on the “View Successes button will download an Excel file with all of the Activity items that were successfully uploaded. If there are no successes, the “View Successes” button will not be displayed in Step 3.

    2. “View Errors”: Clicking on this button shows the user an error log of activities that could not be successfully uploaded and the associated errors. Clicking on the “View Errors button will download an Excel file with all of the Activities that were unable to be uploaded with a column indicating the error. This file will download on the Implementation Plan page. If no errors occurred, the “View Errors” button will not be displayed in Step 3.

    3. “Close”: Selecting “Close” will simply close the popup and display the uploaded Activities.

  3. The downloaded Implementation Plan Excel file, the Success Log, and the Error Log will all be stored under the “Files” related list as ContentVersion files. With each Excel download/upload, new ContentVerasion files will be added to this list.

  1. When an Implementation Plan is locked, users will be prevented from uploading it.

When Implementation Plans(s) are submitted and locked via the “Submit and Lock Wizard” users will see the same message as shown above. This Wizard is available from Mira Release (v1.37) onwards
